Event Postponement

WHY DID THE EVENT GET POSTPONED?

NAB RunWest 2020 was postponed due to the developing COVID-19 situation in Australia. The Australian Government recommended that as of Monday, 16th March 2020  any non-essential mass gatherings do not take place within Australia. This announcement was supported by the NSW Government. NAB RunWest followed the Federal Government advice and postponed the event until October 25, 2020.

CANCELLATION VS POSTPONEMENT

Since the inaugural NAB RunWest in 2019, the team has been working hard in the background to produce an even greater participant experience in 2020. We are so disappointed that our event could not go ahead as planned on  March 29th; however, NAB RunWest is committed to the delivery of this great community event on October 25, 2020.

WHAT IS THE NEW EVENT DATE FOR NAB RUNWEST 2020?

We are excited to announce Sunday, 25 October 2020 as the new date for NAB RunWest. We will continue to follow the advice of the Federal and State Government.

NOW THAT NAB RUNWEST HAS BEEN RE-SCHEDULED, WHAT DO I HAVE TO DO NOW? WHAT HAPPENS TO MY REGISTRATION?

If you were already registered for the March 29, 2020 event, you don’t need to do a thing! All entries  for the March 29 event will be rolled over into our new on October 25, 2020. If you are unable to make the new event date please contact our customer service team on info@runthewest.com.au and we will work to  find a solution for each situation.

WHAT IF I CAN'T MAKE THE NEW NAB RUNWEST EVENT?

If you find you are busy and cannot make the new date and or event distance, you have the following options:

  • Transfer Between 4km & 12km event,
  • Transfer your Entry to NAB RunWest 2021, or
  • Transfer your Entry to a Friend.

CAN I TRANSFER MY EXISTING REGISTRATION TO A FRIEND?

You sure can! If the new date of October 25, 2020 does not work for you and you want to give your entry to a friend, this is not a problem!

I PRE-PURCHASED MERCHANDISE DURING THE REGISTRATION PROCESS. HOW DO I GET MY MERCHANDISE?

Merchandise pre-purchased for NAB RunWest 2020 will be available for collection at packet pick up and at the customer service desk on the new event date. We are awaiting the shipment that was delayed because of the current restrictions and once it arrives, we will arrange as soon as possible. If you would like to receive your Merchandise before the event, please contact the customer service team on info@runthewest.com.au for all available options. 

I RECEIVED MY BIB PRIOR TO THE MARCH EVENT POSTPONEMENT. WHAT DO I DO?

If you registered prior to the 1st March and paid to have your bib posted, this should have arrived. Keep this in a safe place for event day on the 25th October.

CAN I STILL REGISTER FOR THE 2020 NAB RUNWEST?

Of course! Registrations have reopened for the October 25, 2020 event. Remember, if you have already registered for the March 29 event, your entry will be automatically rolled over to the new event date.

 

WHEN DO ENTRIES RE-OPEN FOR RUNWEST OCTOBER 25TH?

Entries for RunWest 2020 are now open! Make sure you subscribe to the RunWest mailing list to get the latest updates on the event, special offers and first access to  information.Simply enter your email address in the SIGN UP field at the bottom of the NAB RunWest website home page to sign up – www.runthewest.com.au

If you have already registered for the event, your registration is still confirmed and you are not required to take any further action at this time.

WILL THE EVENT HAVE SOCIAL DISTANCING MEASURES?

We will be taking all the required steps and are working with the respective government departments to develop a strategy that ensures all health standards are met.

WHEN DO REGISTRATIONS OPEN?

Registrations for NAB RunWest have now reopened for the new date of October 25, 2020.

Please note that availability in some events is limited so don’t delay your entry.

WHAT DO I GET FOR MY ENTRY FEE?

As well as entry to either the 12Km race or the 4Km Family Fun Run, your registration gets you access to all the on-course entertainment on offer during race day and an awesome NAB RunWest finisher medal.  The Finish Festival will be hosted at West HQ and free transport is provided to selected parking and transport hubs.

WHO CAN PARTICIPATE?

Anyone and Everyone! Designed to be an all inclusive event, NAB RunWest is suitable for everyone from competitive runners to families with prams.  Jog at your own pace, it’s not always about the time; it can be about how much fun you’re having. Whether it’s the 12Km or 4Km event, walkers are welcome too.

CAN I ENTER MULTIPLE PEOPLE DURING THE REGISTRATION PROCESS?

Yes, any number of registrations can be processed in one transaction. 

  1. Complete your registration as an individual
  2. Once you reach the cart page, select ‘ADD ANOTHER REGISTRATION’
  3. Repeat this step until all registrations have been added
  4. To finalise registrations click continue and process payment. 

 If you create a team or family of five (5) or more entries in one transaction, a discount of $5 per person will be applied.

CAN I ENTER ON THE DAY?

Registration is available on event morning at the start line of each event (subject to availability). We highly recommend you arrive at least 60 minutes prior to the race start time to allow time to register on the morning as queues can be long.  

WHERE DO I PICK UP MY RACE NUMBER?

For participants who did not select and pay for their race bibs to be posted as part of the registration process, Race Packet Pick up will be at West HQ on Saturday, 24 October 2020 from 10am until 6pm.  

Exact location within West HQ is TBC. Time subject to change.

WHAT DO I NEED TO BRING TO COLLECT MY RACE NUMBER?

To collect your race number, please bring a copy of your confirmation email received upon registration. If you have lost your confirmation email, please email NAB RunWest.

Each registration will be allocated an individual race number. 

If you are unable to attend, you may have someone pick up your race number on your behalf. Please ensure the nominated person has your registration confirmation email with race number and a text/email/letter from you stating that they can pick it up on your behalf.

You are not required to print your confirmation email with race number but you would need to have a copy on your phone available.

WHAT ARE THE AGE RESTRICTIONS FOR EACH EVENT?

Both the 12Km and 4Km Family Fun Run are open to all ages. However all entrants under the age of 12 must be accompanied by a registered parent or guardian for the entire duration of the event and the accompanying adult takes full responsibility for the safety of the entrant under 12.

CAN SOMEONE ELSE COLLECT MY RACE NUMBER ON MY BEHALF?

We recommend entrants collect their own race number.

If you are unable to attend, you may have someone pick up your race pack for you. Please ensure the nominated person has a copy of your confirmation email.

CAN MY RACE NUMBER BE POSTED TO ME?

Yes! If you register by date you will have the option to have your race number mailed to you at a cost of $7.95. 

If you have already registered and did not select postage and would like to add postage to your order, please use this guide to add it to your registration before date.

If you entered by 29 February 2020 and selected postage, your race number will be posted to you for the new date. The delivery of race bibs in March 2020 was delayed due to the event being postponed. 

It is the responsibility of the participant to ensure their address is entered correctly during the registration process. The NAB RunWest team will not be responsible for any missing race numbers and no refund will be provided.

IS THE COURSE WHEELCHAIR FRIENDLY?

Both the 12Km and  4Km Family Fun Run are wheelchair accessible. All participants in wheelchairs (except racing chairs) must be in the final start group.

Those in Racing Chairs will start from Group A.

I ACCIDENTALLY ENTERED THE WRONG DETAILS ON MY REGISTRATION. HOW DO I UPDATE THEM?

You can update your registration details at any time by navigating to the entry page using the link in your confirmation email and logging in with your original login details. At this point, you can change your personal details.

I HAVE LOST OR NEVER RECEIVED MY CONFIRMATION EMAIL, CAN I HAVE IT RE-SENT?

Your registration confirmation email will be important when you collect your race number. If you have lost it or never received it, please email NAB RunWest and we will organise for another email to be sent.

CAN A FRIEND TAKE MY ENTRY IF I AM NO LONGER ABLE TO PARTICIPATE?

Yes, entries can be transferred from one entrant to another. An admin fee of $5 will be applicable. Transfers are only valid for the same event in the same year.  

To transfer your entry to another participant, please download and complete a transfer form and send to info@runthewest.com.au to process.

CAN I UPGRADE OR DOWNGRADE MY REGISTRATION BETWEEN THE 12KM AND 4KM EVENTS?

Yes, you can change your race. An administration and processing fee of $5.33 will be applicable. When downgrading your race distance, refunds will not be given. When upgrading your race distance, you will be required to pay the difference in entry fees. Please note that online transfers will now close on 30 September, 2020 After this time, transfers will only be accepted at Race Packet Pick up.

CAN I FUNDRAISE FOR A CHARITY NOT LISTED ON THE NAB RUNWEST WEBSITE?

COURSE RULES AND RESTRICTIONS

CAN I RUN WITH MY DOG?

Unfortunately, dogs are not permitted on course. Assistance dogs only are permitted on the 4km course but NOT on the 12km course due to Sydney Zoo protocol.

CAN I RUN AS A SUPPORT PERSON FOR SOMEONE WHO NEEDS ASSISTANCE?

If you are running to provide support to someone who needs assistance (such as a guide), please email NAB RunWest who will provide entry instructions.

CAN I RUN WITH HEADPHONES?

We strongly discourage the use of headphones on course. If you do choose to use headphones whilst running, please ensure that you are still able to hear what is happening around you.

CAN I RUN WITH A PRAM?

Prams are permitted in both the 12km and 4km events and must start in the last wave. Children in prams must be registered in the event.

CAN I FLY A PERSONAL DRONE ON COURSE?

The use of any type of drone or unmanned aerial vehicle (UAV) is strictly prohibited at NAB RunWest. Any person using a drone or UAV may be disqualified from the event.

CAN I HAVE A SUPPORT RIDER ON A BIKE NEXT TO ME?

No personal support riders or bike riders within the vicinity of runners are permitted on course. It is the responsibility of each athlete while running to ensure that no bikes are on the course near the runners. Any transgression will result in disqualification from the event.

Race Packet Pick Up

WHAT ARE THE RACE PACKET PICK UP OPENING AND CLOSING TIMES?

ML:For participants who did not select and pay for their race bibs to be posted as part of the registration process, Race Packet Pick up will be at West HQ on Saturday, 24 October 2020 from 10am until 6pm.  

Exact location within West HQ is TBC. Time subject to change.

General

WHERE CAN I BUY EVENT DAY PHOTOS?

NAB RunWest’s Official Event Photographers, Marathon-Photos.com, will be on-course throughout event day to capture all the fun, excitement and smiling faces of NAB RunWest. You’ll be able to purchase your official NAB RunWest photos at www.marathon-photos.com

IS PUBLIC TRANSPORT INCLUDED IN MY ENTRY?

Public transport, such as bus and rail, is not included in your registration.

NAB RunWest will be operating free shuttle buses  after the completion of your race. This means you can drive to the start of the event, run your race, enjoy all that the event has to offer at the Finish Line Festival, West HQ and then be transported back to your car. More details will be provided  closer to the event.

AM I ALLOWED TO SET UP A MARQUEE WITHIN THE FINISH AREA FOR PARTICIPANTS TAKING PART IN THE EVENT?

Groups and organisations are not allowed to create or form a dedicated space within the event village for their group to congregate unless approved by NAB RunWest prior to the event. If a group is seen within the event site without an official event permit they will be asked by event organisers and security to leave the event site. If you would like to enquire about an allocated space within the event village for event day please email NAB RunWest.

AM I ABLE TO HAND OUT SAMPLES/FLYERS/PROMOTIONAL MATERIAL AT THE EVENT?

Under no circumstance can you distribute any samples, flyers, promotional material, or anything similar within the event village. If seen doing so you will be asked to leave the event site by event organisers and security.

HOW IS THE EVENT TIMED?

 

Your time will be recorded by a timing transponder pre-attached to the rear of your race number. Please ensure you firmly attach your race number to your chest and wear it for the entirety of the event.

Once you receive your race number, please ensure you do not bend or expose it to excessive heat. If you think your transponder may be damaged, please present it at the Race Packet Pick up for exchange.

Your personal transponder will be activated once you cross the start line, and your finishing time will be recorded as you cross the finish line. 

Results will be available via the NAB RunWest website on event day.

IS THERE A FINISHER MEDAL?

All finishers in the 12km Fun Run and the 4km Family Fun Run receive an awesome NAB RunWest finishers medal at the West HQ Finish Line Festival.

I'M PLANNING TO DRIVE, WHAT'S THE BEST WAY TO GET THERE?

We are currently planning additional parking for those that do not want to travel by Public transport. More information will be made available close to the event date.

WHAT ROAD CLOSURES WILL BE IN PLACE FOR THE EVENT?

While the courses travel mostly off-road using shared and private pathways sections of roads along the course will be closed for the safety of participants.

Roads around the start site will be closed between 6 am and 9 am.

Roads near the Blacktown International Sports Park start site will be closed between 6:35 am and 11.30am including sections of Eastern Rd, Rooty Hill Rd and Beames Ave.

Roads near West HQ and Rooty Hill will be closed between 3:00 am and 1:00 pm.

Limited vehicle access will be managed under traffic control to maintain resident access when possible at key locations.

CAN I GET MORE INFORMATION ABOUT THE RUNWEST RESEARCH?

Sure! We have partnered with an expert research team called SPRINTER – which is a research partnership between The University of Sydney and NSW Government Office of Sport. SPRINTER is helping us investigate how participation in NAB RunWest influences your physical activity participation and your health and wellbeing over time. This will build new understanding about mass participation events and how they may improve health in local Sydney communities. You will be asked if you are interested in participating in the research when you register in NAB RunWest.

PARTICIPANT AGREEMENT

PARTICIPANT AGREEMENT

PLEASE READ – PARTICIPANT DECLARATION – IMPORTANT INFORMATION

All applicants for participation in the Event – and where the applicant is under 18 years of age, that applicant’s parent or legal guardian – must read, acknowledge and agree to the terms set out below, including the warning, exclusion of liability, release & indemnity. Where an applicant is under 18 years of age, the applicant’s parent or legal guardian that accepts this declaration in their personal capacity on behalf of the applicant and is expressly agreeing to be responsible for the applicant’s behaviour at the Event.

  1. Definitions: In this application and declaration:

Claim means and includes any action, suit, proceeding, claim, demand, damage, penalty, cost or expense however arising including but not limited to negligence BUT does NOT include a claim against RunWest by any person entitled to make a claim under a relevant insurance policy.

Event means the event to be known as “RunWest” which – unless varied by RunWest – will be held on 29th March 2020 at and through a series of venues which may include, but is not limited to, West HQ, Sydney Motorsport Park, Sydney Zoo, Western Sydney Parklands and Blacktown International Sports Park.

RunWest means Runwest Festival Limited and includes its directors, volunteers, officers, servants or agents, and members.

  1. Terms of application to participate: I acknowledge my application to enter the Event will be accepted upon notification to me by RunWest. I acknowledge that I will be bound by and agree to comply with such rules, terms and conditions as may be imposed by RunWest from time to time in respect to the conduct and management of the Event. I understand and accept that RunWest has discretion to accept or decline an entry on whatever grounds.
  2. Property: I am responsible for all property I bring to the Event sites and acknowledge that RunWest accepts no responsibility for any loss or damage to this property.
  3. Identity: I consent to the conduct of identity verification checks, background security checks and any other security checks (which may include inspecting my personal property) prior to my entry to and / or departure from any Events site.
  4. Rules: I undertake to comply with all applicable rules, regulations and by-laws of RunWest and the Event as amended from time to time. I acknowledge and agree that these rules include the Anti-Doping Policy of Athletics Australia, which is incorporated into this agreement by RunWest, and I further declare that I have not used any substance for the purpose of enhancing my performance at the Event and will not use any substance or procedures prohibited by the rules of Athletics Australia, the Australian Sports Anti-Doping Authority or the International Association of Athletics Federations. Without limiting the above, I agree to follow, comply with and abide by all reasonable directions and decisions of RunWest and Event officials / staff regarding the conduct of the Event.
  5. Withdrawal from Event: I understand and accept that my entry is non-refundable.

I understand and accept that all entries are non-transferable and non-refundable for non-starters and non-finishers. I accept that entries cannot be deferred to subsequent years of the event.

  1. Variation of entry: I understand and accept that if I choose to transfer to another event distance of a greater value, I will be required to pay an additional fee for the difference between the entry fee originally paid and the current cost of participating in the alternative event distance plus a $5 administration fee.

I understand that there is a $5 administration fee for any event changes, and race fee differences.

Online race changes are permitted until 29th February 2020. After that, any remaining race changes must be done at the Race Packet Pick up (subject to availability).

Any participant who completes the event using the registration of another person is subject to disqualification.

  1. Cancellation or modification of Event by RunWest: I acknowledge and agree that the Event venues, courses and distances are subject to approval from government and other authorities and, as such, may be modified by RunWest at any time without notice to me. If the Event is cancelled or modified by RunWest including and without limitation strong winds, heavy rain, excessive atmospheric pollution, lightening and accidents, or any other Act of God, force majeure, pandemic or other mass health and safety issue I accept that my entry fee and / or any other cost incurred in order to participate and / or get to the Event will be non-refundable and/ or any other cost incurred in order to participate in the Event will be non-refundable. In addition, I acknowledge I will have no Claim against RunWest for any loss or damage I may suffer as a result of such cancellation or modification.
  2. Warning: The Event can be inherently dangerous. I acknowledge that I am exposed to certain risks during the Event including but not limited to physical exertion, body contact with other persons, potential contact with vehicles wind and weather conditions including but not only temperatures. I acknowledge that accidents or incidents can and often do happen which may result in me being injured or even killed, or my property being damaged. I have voluntarily read and understood this warning and accept and assume the inherent risks in participating in the Event.
  3. Exclusion of implied terms: I acknowledge that where I am a consumer of recreational services, as defined by any relevant law, certain terms and rights usually implied into a contract for the supply of goods and services may be excluded. I acknowledge that these implied terms and rights and any liability of RunWest flowing from them, are expressly excluded to the extent possible by law, by this declaration. To the extent of any liability arising, the liability of RunWest will, at the discretion of RunWest, will be limited to the resupply of the services or the payment of the cost of having the services supplied again.
  4. Release & Indemnity: In consideration of RunWest accepting my application to enter the Event I:

(a)   release and will release RunWest from all Claims that I may have or may have had but for this release arising from or in connection with my participation in the Event; and

(b)   indemnify and will keep indemnified RunWest to the extent permitted by law in respect of any Claim by any person arising as a result of or in connection with my participation in the Event.

  1. Fitness to Participate: I declare that I am medically and physically fit and able to participate in the Event. I am not and must not be a danger to myself or to the health and safety of others. I will immediately notify RunWest in writing of any change to my medical condition, fitness and ability to participate.
  2. Privacy: I understand that the information that I have provided to RunWest in this application and entry process is necessary for the Event. If the information is not provided, my application for entry to the Event may be rejected. I acknowledge and agree that the information may be disclosed to third parties in accordance with the Athletics Australia Privacy Policy and will be used for the objects of RunWest, to provide you with promotional material from RunWest or its sponsors or corporate partners (including but not limited to West HQ, Blacktown Council and Sydney Zoo) about events, products and/or services that may interest you, and for assisting with research and event evaluation (which will include use by the NSW Office of Sport). I understand and accept that I may advise RunWest if I do not wish to receive any sponsor or third-party material.
  3. Commercial and other rights of RunWest: I acknowledge the rights of RunWest and any Event sponsors to use, without restriction, any images or photographs captured or taken of me before, during or after the Event. I am aware that I cannot display any advertising, or marketing identification of any sponsor that is in competition with any Event sponsors. This declaration is not an automatic endorsement of the Event sponsors by me but is to give effect to the rights of the Event sponsors to use images captured in conjunction with the Event, and also preclude competitors from displaying advertising or marketing information. I consent to the publication and/or use in any form of media whatsoever of my name, race result, image, voice, statement or otherwise, including the publication of my name and/or event result and applicable age bracket in /or marketing materials/website without payment or compensation.
  4. Event entry information true and correct: I have provided the information required and signed or assented to this declaration where indicated. I warrant that all information provided is true and correct. I acknowledge that this application and declaration cannot be amended. If I do amend it, my application will be null and void and cannot be accepted by RunWest.
  5. Severance: If any provision of this application is invalid or unenforceable in any jurisdiction, the phrase or clause is to be read down for the purpose of that jurisdiction, if possible, so as to be valid and enforceable. If the phrase or clause cannot be so read down, it will be severed to the extent of the invalidity or unenforceability of it in any other jurisdiction. Such severance does not affect the remaining provisions of this application or affect the validity or enforceability of it in any other jurisdiction.
