WHEN DO REGISTRATIONS OPEN AND CLOSE?

RunWest registrations are now open. Online entries will close on Wednesday 27th March, 2019 at midday. Please note that availability in some events is limited so don’t delay your entry.

Pending availability, entries may still be taken during from Thursday- Saturday 28-30 March, 2019 at the RunWest Expo at West HQ.

WHAT DO I GET FOR MY ENTRY FEE?

As well as entry to either the 12Km race or the 4Km Family Fun Run, your ticket gets you access to all the on-course entertainment on offer during race day.  All event registrations include a free pass to visit the new Sydney Zoo.  That’s incredible value for as little as a $15 event entry fee! The Finish Line Festival will be hosted at West HQ where there will also be free entry to the Sydney Gymnastics and Aquatic Centre, as well as free transport to take you back to the carpark at Sydney Motorsport Park.

WHO CAN PARTICIPATE?

Anyone and Everyone! Designed to be all inclusive, RunWest is suitable for everyone from competitive runners to families with prams.  Jog at your own pace, it’s not always about the time; it can be about how much fun you’re having. Whether it’s the 12Km or 4Km event, walkers are welcome too.

CAN I ENTER MULTIPLE PEOPLE DURING THE REGISTRATION PROCESS?

Yes, any number of registrations can be processed in the one credit card transaction. If five or more entries are processed at one time, a 10% discount will be applied to the total cost.

CAN I ENTER ON THE DAY?

No, entries cannot be submitted on the day of the event. Online entries close at midday on Wednesday March 27, 2019.

WHERE DO I PICK UP MY BIB NUMBER FROM?

Bib number pick-up will be at the RunWest Expo at Made By The Hill located at West HQ from Thursday March 28 – Saturday March 30.

WHAT DO I NEED TO BRING TO COLLECT MY BIB NUMBER?

You will need photo identification to collect your race pack. If you are collecting a race pack on behalf of another individual you will be required to provide a letter/email/text showing you have permission to do so along with a copy of their entry confirmation.

Each entrant will receive a confirmation of their entry via email (also downloadable format), you are not required to print this but it would be a good idea to have a copy on your phone available.

WHAT ARE THE AGE RESTRICTIONS FOR EACH EVENT?

Both the 12Km and 4Km Family Fun Run are open to all ages. However all entrants under the age of 12 must be accompanied by a registered parent or guardian for the entire duration of the event and the accompanying adult takes full responsibility for the safety of the entrant under 12.

CAN SOMEONE ELSE COLLECT MY RACE NUMBER ON MY BEHALF?

We recommend entrants collect their own race number. However, if you need someone to collect on your behalf, they require a copy of your Entry Confirmation and a written authorisation letter/email/text from you outlining that you give them permission to collect on your behalf.

CAN MY RACE NUMBER BE POSTED TO ME?

If you enter prior to January 1, 2019 you will have the option to have your race pack mailed to you at a cost of $6.

Following that time, Race numbers will not be posted. You will need to collect your race number at your nominated Check In Centre during opening hours. If you cannot make it to one of the Check In Centres, you can arrange for someone else to collect it on your behalf. They will need to bring with them a copy of your entry confirmation along with an email/letter/text from you confirming your permission for them to do so.

IS THE COURSE WHEELCHAIR FRIENDLY?

Both the 12Km and 4Km Family Fun Run are wheelchair accessible. Participants in wheelchairs should enter and start from the last wave in each event. There is no elite wheelchair event or priority start for participants in race chairs.

I ACCIDENTALLY ENTERED THE WRONG DETAILS ON MY REGISTRATION. HOW DO I UPDATE THEM?

You can update your registration details at any time by navigating to the entry page and logging in with your original login details. At this point, you can change your personal details. Instructions for this can be found on the registration page.

I HAVE LOST OR NEVER RECEIVED MY CONFIRMATION EMAIL, CAN I HAVE IT RE-SENT?

Your event confirmation email will be important when you collect your race number. If you have lost it or never received it, please email RunWest and we will organise for another email to be sent.

HOW DO I WITHDRAW FROM THE EVENT AND RECEIVE A REFUND?

Refunds can only be processed by RunWest staff. They cannot be processed online via your event registration account. Please email RunWest to facilitate a refund. Please ensure you read the refund Terms and Conditions prior to requesting a refund.

CAN A FRIEND TAKE MY ENTRY IF I AM NO LONGER ABLE TO PARTICIPATE?

Yes, entries can be transferred from one entrant to another. Transfers are only valid for the same event in the same year. To organise a transfer, please navigate to the registration portal where further instructions will assist you through this process. Please note transfers will close  on Sunday 17th March 2019. After this time, no transfers will be accepted.

CAN I UPGRADE OR DOWNGRADE MY REGISTRATION BETWEEN THE 12KM AND 4KM EVENTS?

Yes, you can change your race. When downgrading your race distance, refunds will not be given. When upgrading your race, you will be required to pay the difference in entry fees. To organise an upgrade/downgrade please navigate to the registration portal where further instructions will assist you through this process. Please note transfers will close  on Sunday 17th March 2019. After this time, no transfers will be accepted.

CAN I FUNDRAISE FOR A CHARITY NOT LISTED ON THE RUNWEST WEBSITE?

Yes you are free to raise money for a charity close to your own heart via an Official RunWest Fundraising page. Start Fundraising now.

HOW DO I GET MY FREE ZOO PASS?

Following the completion of RunWest all registered participants will be emailed a code to redeem a voucher at the Sydney Zoo website, which will entitle you to a free pass to the Sydney Zoo, which will be valid for up to 365 days from August 1, 2019. One pass per registered participant.

COURSE RULES AND RESTRICTIONS

WHAT ROAD CLOSURES WILL BE IN PLACE FOR THE EVENT?

Road closures will be in effect for the event and will be advertised on the RunWest website closer to event day.

CAN I RUN WITH MY DOG?

Unfortunately, with the exception of assistance dogs, no animal may be on the course at anytime.

CAN I RUN AS A SUPPORT PERSON FOR SOMEONE WHO NEEDS ASSISTANCE?

If you are running to provide assistance to someone who needs assistance (such as a guide), please email RunWest who will provide entry instructions.

CAN I RUN WITH HEADPHONES?

We strongly discourage the use of headphones on course. If you do choose to use headphones whilst running, please ensure that you are still able to hear what is happening around you.

CAN I RUN WITH A PRAM?

Prams are permitted in both of the 12Km Fun Run the 4Km Family Fun Run and must start at the back of the field. Please complete the Accompanying Pram Section when registering to enter. An identification pass for the pram will be included with your race pack. If you would like the child to receive entrant rewards then you will need to enter them in to the event.

CAN I FLY A PERSONAL DRONE ON COURSE?

The use of any type of drone or unmanned aerial vehicle (UAV) is strictly prohibited at RunWest. Any person using a drone or UAV may be disqualified from the event.

CAN I HAVE A SUPPORT RIDER ON A BIKE NEXT TO ME?

No personal support riders or bike riders within the vicinity of runners are permitted on course. It is the responsibility of each athlete while running to ensure that no bikes are on the course near the runners. Any transgression will result in disqualification from the event.

WHERE CAN I BUY EVENT DAY PHOTOS?

RunWest’s Oficial Event Photographers will be on-course throughout event day to capture all the fun, excitement and smiling faces of RunWest. You’ll be able to purchase your official RunWest photos here.

IS PUBLIC TRANSPORT INCLUDED IN MY ENTRY?

RunWest will be operating free shuttle buses between Sydney Motorsport Park and West HQ throughout the day for all participants. For those participants parking at Sydney Motorsport Park for the start of the RunWest 12Km event, this means you can drive to Sydney Motorsport Park, enjoy all that the event has to offer, including the Finish Line Festival at West HQ and then be transported back to your car at Sydney Motorsport Park after you have enjoyed all there is to offer.

For participants choosing to park at the West HQ finish line, transport will be available prior to the 12km Event start from West HQ to Sydney Motorsport Park early on the morning of event day.

IS THERE A GEAR DROP AREA?

Yes, gear drop will be available at both the 12km and 4Km Family Fun Run start area. This provides an option for essential items to be transferred from the start line to the finish line at West HQ for collection.

Participants are strongly encouraged to consider what they bring to the start line and only submit essential items to the gear drop. We strongly discourage submitting valuable items and RunWest is unable to take responsibility for valuable items.

AM I ALLOWED TO SET UP A MARQUEE WITHIN THE FINISH AREA FOR PARTICIPANTS TAKING PART IN THE EVENT?

Groups and organisations are not allowed to create or form a dedicated space within the event village for their group to congregate unless approved by RunWest prior to the event. If a group is seen within the event site without an official event permit they will be asked by event organisers and security to leave the event site. If you would like to enquire about an allocated space within the event village for event day please email RunWest.

AM I ABLE TO HAND OUT SAMPLES/FLYERS/PROMOTIONAL MATERIAL AT THE EVENT?

Under no circumstance can you distribute any samples, flyers, promotional material, or anything similar within the event village. If seen doing so you will be asked to leave the event site by event organisers and security.

HOW IS THE EVENT TIMED?

Your time will be recorded by a timing transponder pre-attached to the rear of your race number. Please ensure you firmly attach your race number to your chest and wear it for the entirety of the event.

Once you receive your race number, please ensure you do not bend or expose it to excessive heat. If you think your transponder may be damaged, please present it at the RunWest Expo for exchange.

Your personal transponder will be activated once you cross the start line, and your finishing time will be recorded as you cross the finish line. Results will be available as they happen on the RunWest website.

IS THERE A FINISHER MEDAL?

All finishers in the 12km Fun Run and the 4km Family Fun Run receive an awesome RunWest finishers medal. For our first ever RunWest we are designing some awesome bling!

Refund Terms and Conditions

WHAT ARE THE EVENT TERMS AND CONDITIONS?

All applicants for participation in the Event – and where the applicant is under 18 years of age, that applicant’s parent or legal guardian – must read, acknowledge and agree to the terms set out below, including the warning, exclusion of liability, release & indemnity.  Where an applicant is under 18 years of age, the applicant’s parent or legal guardian that accepts this declaration in their personal capacity on behalf of the applicant and is expressly agreeing to be responsible for the applicant’s behaviour at the Event.

  1. Definitions: In this application and declaration:

    Claim
    means and includes any action, suit, proceeding, claim, demand, damage, penalty, cost or expense however arising including but not limited to negligence BUT does NOT include a claim against RunWest by any person entitled to make a claim under a relevant insurance policy.

    Event
    means the event to be known as “RunWest” which – unless varied by RunWest – will be held on 31st March at and through a series of venues which may include, but is not limited to, Rooty Hill RSL, Sydney Motor Sport Park, Sydney Zoo, Western Sydney Parklands and Blacktown International Sports Park.

    RunWest
    means Runwest Festival Limited and includes its directors, officers, servants or agents, and members.
  2. Terms of application to participate: I acknowledge my application to enter the Event will be accepted upon notification to me by RunWest. I acknowledge that I will be bound by and agree to comply with such rules, terms and conditions as may be imposed by RunWest in respect to the conduct and management of the Event from time to time.  I understand and accept that RunWest has discretion to accept or decline an entry on whatever grounds.  I understand and accept that my entry is non-transferrable.
  3. Property: I am responsible for all property I bring to the Event sites and acknowledge that RunWest accepts no responsibility for any loss or damage to this property.
  4. Identity: I consent to the conduct of identity verification checks, background security checks and any other security checks (which may include inspecting my personal property) prior to my entry to and / or departure from any Events site.
  5. Rules: I undertake to comply with all applicable rules, regulations and by-laws of RunWest and the Event as amended from time to time. I acknowledge and agree that these rules include the Anti-Doping Policy of Athletics Australia, which is incorporated into this agreement by RunWest, and I further declare that I have not used any substance for the purpose of enhancing my performance at the Event and will not use any substance or procedures prohibited by the rules of Athletics Australia, the Australian Sports Anti-Doping Authority or the International Association of Athletics Federations.  Without limiting the above, I agree to follow, comply with and abide by all reasonable directions and decisions of RunWest and Event officials / staff regarding the conduct of the Event.
  6. Withdrawal from Event: I understand and accept that if I choose to withdraw from the Event by providing written notice to RunWest prior to 1 March 2019, my entry fee may be refunded less 25% which will be retained by RunWest to cover all applicable administration costs.  If I choose to withdraw from the Event on or after 1 March 2019 or if I do not complete the Event, my entry fees will not be refunded.
  7. Variation of entry: I understand and accept that if I choose to change from one Event race distance to the other by providing written notice to RunWest prior to 17th March 2019, I will be charged a $5 administration fee plus any applicable difference in the race fee.  I also accept that changes of this nature are not available after 17 March 2019.
  8. Cancellation or modification of Event by RunWest: I acknowledge and agree that the Event venues, courses and distances are subject to approval from government and other authorities and, as such, may be modified by RunWest at any time without notice to me. If the Event is cancelled or modified by RunWest at any time due to RunWest’s concerns for the safety of participants, a force majeure event, or any other reason beyond the reasonable control of RunWest, I accept that my entry fee and / or any other cost incurred in order to participate in the Event will be non-refundable. In addition, I acknowledge I will have no claim against RunWest for any loss or damage I may suffer as a result of such cancellation or modification.
  9. Warning: The Event can be inherently dangerous. I acknowledge that I am exposed to certain risks during the Event including but not limited to physical exertion, body contact with other persons, potential contact with vehicles wind and weather conditions including but not only temperatures.  I acknowledge that accidents or incidents can and often do happen which may result in me being injured or even killed, or my property being damaged.  I have voluntarily read and understood this warning and accept and assume the inherent risks in participating in the Event.
  10. Exclusion of implied terms: I acknowledge that where I am a consumer of recreational services, as defined by any relevant law, certain terms and rights usually implied into a contract for the supply of goods and services may be excluded. I acknowledge that these implied terms and rights and any liability of RunWest flowing from them, are expressly excluded to the extent possible by law, by this declaration. To the extent of any liability arising, the liability of RunWest will, at the discretion of RunWest, be limited to the resupply of the services or the payment of the cost of having the services supplied again.
  11. Release & Indemnity: In consideration of RunWest accepting my application to enter the Event I:
    (a)   release and will release RunWest from all Claims that I may have or may have had but for this release arising from or in connection with my participation in the Event; and
    (b)   indemnify and will keep indemnified RunWest to the extent permitted by law in respect of any Claim by any person arising as a result of or in connection with my participation in the Event.
  1. Fitness to Participate: I declare that I am medically and physically fit and able to participate in the Event. I am not and must not be a danger to myself or to the health and safety of others.  I will immediately notify RunWest in writing of any change to my medical condition, fitness and ability to participate.
  2. Privacy: I understand that the information that I have provided to RunWest in this application and entry process is necessary for the Event.  If the information is not provided, my application for entry to the Event may be rejected.  I acknowledge and agree that the information may be disclosed to third parties but will only be used for the objects of RunWest, to provide you with promotional material from RunWest or its sponsors or corporate partners (including but not limited to Rooty Hill RSL, Blacktown Council and Sydney Zoo) about events, products and/or services that may interest you, and for assisting with research and event evaluation (which will include use by the NSW Office of Sport).  I understand and accept that may advise RunWest if I do not wish to receive any sponsor or third-party material.
  3. Commercial and other rights of RunWest: I acknowledge the rights of RunWest and any Event sponsors to use, without restriction, any images or photographs captured or taken of me before, during or after the Event. I am aware that I cannot display any advertising, or marketing identification of any sponsor that is in competition with any Event sponsors.  This declaration is not an automatic endorsement of the Event sponsors by me, but is to give effect to the rights of the Event sponsors to use images captured in conjunction with the Event, and also preclude competitors from displaying advertising or marketing information.  I consent to the publication and/or use in any form of media whatsoever of my name, race result, image, voice, statement or otherwise, including the publication of my name and/or event result and applicable age bracket in /or marketing materials/website without payment or compensation.
  4. Event entry information true and correct: I have provided the information required and signed or assented to this declaration where indicated. I warrant that all information provided is true and correct.  I acknowledge that this application and declaration cannot be amended.  If I do amend it my application will be null and void and cannot be accepted by RunWest.
  5. Severance: If any provision of this membership declaration is invalid or unenforceable in any jurisdiction, the phrase or clause is to be read down for the purpose of that jurisdiction, if possible, so as to be valid and enforceable.  If the phrase or clause cannot be so read down it will be severed to the extent of the invalidity or unenforceability of it in any other jurisdiction.  Such severance does not affect the remaining provisions of this membership declaration or affect the validity or enforceability of it in any other jurisdiction.
